Constitution

1. NAME

1.1 The name of the Club is SURBITON SPORTS CLUB

1.2 The corporate colours of the club are green and yellow.

2. ADDRESS

2.1 The address of the Club shall be in the United Kingdom at a place determined by the Executive Committee from time to time.

3. OBJECTIVES

3.1 The objectives of the Club shall be to provide sports and social activities for members.

4. MEMBERSHIP

4.1 Family membership shall normally be extended to spouse and children under 18. 

4.2 Adult membership shall be granted to individuals from the age of 18 and over.

4.3.Admission of members shall be by the approval of the Committee.

4.4 Members shall be allowed to play for other Clubs once they are approved by the Committee, provided club does participate in those respective sporting activity/ event.

Re-admission of a previous member shall be decided at the AGM, only if the re-admission cannot be resolved by the Committee.

4.6 Any member who has committed misdemeanours to the Club shall be banned indefinitely. 

5. MEMBERSHIP FEES

5.1. Membership fee shall include annual subscription decided by the members at the Annual General Meeting and it becomes payable on 01 February of the calendar year.

6. MEETINGS

6.1 An Annual General Meeting shall be held every year not later than 31st March of the following year. At least 14 days’ notice of the AGM shall be given to members.

6.2 Special General meeting shall be held when requested by a letter signed by more than 60% of the paid members. The meeting shall be convened within a month of receiving the request by giving fourteen days’ notice in writing to all of the paid members, with the reason for the request.

6.3 Committee meetings shall be held at least once every two months or as often as business requires. The Secretary shall give at least seven days’ notice.

60% of paid members or a minimum of 30 paid members shall form a quorum at all meetings.

7. VOTING RIGHTS AT MEETINGS

7.1 Every paid member shall be eligible to vote on any issue.

7.2 The Chairman shall have the right to cast a vote in the event of a tie.

7.3 In certain circumstances, the committee shall, at their discretion issue ballet papers rather than hold a poll at a meeting.

8. THE CLUB COMMITTEE AND OFFICE BEARERS

8.1 The members present at the AGM shall elect the following members to form the club committee:

Chairman

Vice Chairman

Secretary

Treasurer

Assistance Secretary

Assistance Treasurer

Sports Co-ordinator and 

Four committee members, making a total of 11 members.

A member shall have completed at least one year as member of the club before being nominated to be elected to the committee.

8.2 The Club Executive Committee will comprise of the Chairman, Secretary,

Treasurer and the Sports Co-ordinator. In the event of any urgent matter executive committee will make the immediate decision.

8.3 Club committee shall have the power to decide on any sports related activities of the club and elect the managers for individual sporting activity when necessary.

8.4 The Sports Manager and the playing members shall elect the Captain and Vice Captain of the respective sporting teams (i.e. cricket, football other).

9. DUTIES OF THE COMMITTEE

9.1 Club committee shall be responsible for the day to day running of the club.

9.2 The Chairman shall be responsible for conducting all meetings.

9.3 The Secretary shall maintain minutes of all meetings, maintain a register of members and deal with all correspondence of the club.

9.4 The Treasurer shall keep financial records. 

10. POWERS OF THE COMMITTEE

10.1 Club committee shall be responsible for all expenditure of the club. Club committee shall take whatever disciplinary action it considers fit against any members who failed to obey the rules of the club.

10.2 Club committee shall approach trustees if necessary on any major issues affecting the club.

10.3 The Club committee may co-opt one other to itself without voting rights and may appoint Sub-committees for any specified purposes and may delegate to such Sub-committees any of it’s powers or functions.

10.4 In the event of a vacancy occurring in any of the office bearers before the next AGM the Club committee shall appoint a suitable person to fill the vacancy.

11. PRESIDENT, AUDITOR AND TRUSTEES

11.1 The club shall at the AGM nominate a President as a honorary position, who shall be a member of the club but not a member of the club committee.

11.1 The club shall at the AGM appoint an auditor and he or she shall be a member of the club but not a member of the club committee. They shall make a report on the accounts prepared by the treasurer every year.

11.3 The club shall at the AGM elect three trustees and they shall be members of the club but not members of club committee. Members of the trustees shall only be allowed to serve for a period of three consecutive years.

12. OUTSIDE ACTIVITIES

12.1 Members are expected to behave in a reasonable manner as failure to do so might prejudice the interest of the members. They are expected to obey the club rules as to punctuality, sports gear and disputes.

13. AMENDMENTS TO THE CONSTITUTION

13.1 Any amendments to the constitution must be passed by a two third majority of the members who are present at the AGM.

14. DISMISSAL OF OFFICE BEARERS

14.1 On receiving application from at least 50 percent of the members of the club, the Secretary shall call on Special General Meeting (SGM) to consider the request to dismiss an officer of the club. In the event of the officer in question being the Secretary, the notice shall be given to the Chairman. A simple majority is sufficient to dismiss an officer.

15. CLUB PROPERTY AND SPORTS FACILITIES

15.1 All property acquired by the club shall belong to the club and not to individual members.

16. FUNDS AND ACCOUNTS

16.1 All the fund raising activities shall be organised by the club committee and it will be for the general use of the club’s sports and social activities. In the event of funds being raised for a charity, it shall be donated to a particular local charity selected by the President and to be approved by the club committee.

All withdrawals of money from the club’s Bank/Building Society account shall be signed by the treasurer and either the Chairman or the Secretary.

16.2 The accounting year shall be 1 February to 31 January.

17. DISSOLUTION OF THE CLUB

17.1 In the event of winding up the club, a resolution proposing the dissolution must be passed by 3/4 of the members at a meeting called for that purpose. All club assets shall be shared equally among the paid up members.
